KPI System for Companies: Department KPIs and a CEO Dashboard

To find out how sales, the warehouse and production are doing, a CEO usually pulls numbers from three spreadsheets and two reports. By the time the picture is complete, it is already out of date. Department KPIs in DashLab solve exactly this: each department's plan, actual and trend are visible straight away, with no manual roll-up.

What a KPI system fixes

Most companies with 30 to 200 people run on the same routine. Each department keeps its own spreadsheet, someone consolidates them into a report on Friday, and on Monday the management meeting discusses numbers that are a week old. The problems are predictable:

  • a gap against plan is noticed too late, when the month is almost closed;
  • every department reports in its own format, so comparing them is hard;
  • the CEO spends time collecting data instead of making decisions;
  • the "red zone" is judged by eye rather than by a clear rule.

Once the numbers sit on one dashboard and their status is calculated automatically, the meeting changes. Instead of "so what is the actual figure?", people discuss why a department slipped and what to do about it.

How it works in DashLab

Plan, actual and trend for each department

Each department gets KPIs with a plan. Actuals come in from connected data sources, and the platform shows completion and trend on a single screen.

Status is calculated by a simple rule:

  • 85% of plan and above: "on track";
  • from 60% to 85%: "attention";
  • below 60%: "critical".

An example. Say the sales department has a monthly plan of 500M UZS. On the 20th, actual sales are 380M, which is 76% of plan, so the KPI shows yellow. If actual sales were 280M (56%), the status would be "critical", and you would see it on the main dashboard without a separate report.

A builder that needs no developers

Your company administrator creates departments, tabs and widgets on their own. Widgets come in several types: KPI cards, charts, tables and kanban boards. Everything is assembled by drag and drop, with no code and no developer. If a new department appears tomorrow or you decide to track a different metric, the administrator adds it.

Where the data comes from

Actuals reach the dashboard from systems the company already uses. DashLab connects to Google Sheets, Bitrix24, 1C and a REST API, and scheduled scripts write data straight into the dashboard. We covered how to design the KPI set itself in how to roll out department KPIs.

Access and security

Access to the platform is role-based. Each company's data is isolated, integration keys are stored encrypted (AES-256), every action is recorded in an audit log, and connections run over HTTPS.

DashLab runs in the browser, with apps for Windows, macOS, iPhone and Android. The apps update themselves.

Who it is for

The KPI system in DashLab is built for companies with 10 to 300 employees, where the CEO has no time to assemble reports by hand. Typically that means:

  • trading and distribution companies that need to see sales by department and branch every day;
  • manufacturers tracking output, defects and shipments;
  • service companies whose KPIs depend on staff utilization and revenue.

For example, a trading company in Tashkent with 40 people, three sales teams and a warehouse. The owner opens one dashboard in the morning and sees which team is behind plan without waiting for Friday's report.

Start with 3 to 5 KPIs per department. Nobody keeps twenty KPIs honest from day one.

How to get started

  1. Submit a request to connect on the website.
  2. We review the request and open the platform, usually within a day. Your company gets its own address in the form company.dashlab.uz.
  3. You sign in with the email and password from your request and add your employees.
  4. We help with the initial setup, including your first departments and KPIs.

New companies get a trial period. Pricing is calculated for your company after you apply. Contracts and payment are available for legal entities in Uzbekistan.

FAQ

How is a KPI's status calculated?

DashLab sets the status from the percentage of plan achieved: 85% and above is "on track", 60% and above is "attention", below 60% is "critical". The scale is the same for every department, so a red zone means the same thing for sales as it does for the warehouse.

Do I need a developer to build a dashboard?

No. Your company administrator creates departments, tabs and widgets by drag and drop. You may only need a developer if you want to send data from your own system through the REST API.

How does data from 1C or Google Sheets get into the dashboard?

You connect the integrations, and scheduled scripts write the data straight into the dashboard. Nobody has to copy numbers across by hand every day.

How much does the KPI system cost?

Pricing is calculated individually after you apply, based on your company. New companies get a trial period, so you can test the platform on your own data before paying.
